Job Description

As an Airside Administrator - 12 Month Fixed-Term Contract, you are responsible for all aspects of supporting the personnel administration of the Airside operation, ensuring that the department's administrative processes support the achievement of the Airside department's budgeted spending targets.

You will play a key role in supporting and engaging with the DO & CO team to deliver exceptional food and service, while maintaining the high standards and reputation of DO & CO with our partners. You will be a strong team player who takes responsibility for their actions and actively contributes to team success.

  • Manage the Absence Management process for the Airside operation, ensuring all employees complete return-to-work meetings and that absence triggers are monitored and managed through the appropriate procedures, including absence management meetings and improvement notices.
  • Support HR in the effective administration of absence management processes and employee wellbeing initiatives.
  • Oversee labour and hours forecasting and management, including payroll corrections and liaison with the Payroll and Workforce Management (WFM) teams.
  • Complete daily, weekly, and monthly payroll and labour corrections, ensuring accuracy before submission to Payroll.
  • Liaise with the WFM team to ensure shift plans are created, checked, finalised, and communicated accurately.
  • Act as a key partner in the running of the Airside operation by working closely with the HR, Payroll, Workforce Management, and Airside Management teams.
  • Manage holiday requests and entitlements for the Airside department, authorising leave and monitoring staffing levels to support operational requirements.
  • Act as the main point of contact for Flight Coordinators, managing daily queries, complaints, and requests.
  • Order and manage uniforms for the Airside team.
  • Serve as the key user for the Fourth Ambassador system.
  • Assist with the collection and processing of new starter documentation, ensuring all relevant information is accurately recorded and communicated.
  • Liaise with the Transport Compliance team regarding compliance requirements, planning trackers, and operational databases for the Airside team.
  • Maintain accurate personnel records and support departmental administration activities as required.
  • Ensure the operational area remains a safe place to work and act as a role model in adhering to all company policies, including Health & Safety, Fire Safety, Environmental, Security, and Compliance policies.
  • Provide exceptional service to customers and partners, ensuring goods are delivered on time, to specification, and with accurate handover documentation.
